NO FULL TIME AUDIO ENGINEER IN EVENT ROOM | WEBCAST TEMPLATE
No Full -Time Audio Engineer means the client has arranged for venue AV to set up event room audio, but the venue AV staff will not remain in the event room to monitor/adjust audio during presentations but will check back in at break(s) only.
This program will be live streamed from the back of the room by our videographer with a single laptop/camera. Our videographer will arrive 2 hours prior to the beginning of the meeting in order to set up and test the Internet.
We request TWO wired (ethernet) Internet connections. One connection for the presentation laptop and another for the videographer tech. See specifications further below.
It is desired that conference area Wi-Fi SSID/Password information be printed and placed on the videographer’s table at the back of the room. This wireless information would be used by the videographer as follows:
As a primary (wireless) Internet connection if a wired connection is either not available or not working during the videographer setup
As a secondary backup (wireless) Internet connection in the case of wired Internet connectivity issues
We desire an active internet connection be made available to our videographer 2 hours before the start of the meeting.
AV NEEDS/SETUP IN THE FRONT OF THE ROOM (SPEAKER’S AREA)

Laptop sound package – connect speaker’s laptop audio to a direct box/laptop interface (see example) and route the mic (XLR) cable to the audio mixer located at the back of the room in the videographer tech area
Internet Connection #1: An Ethernet Cable from an active Ethernet port with at least 5Mbps+ normal speed test download/upload bandwidth.
AV NEEDS/SETUP IN THE BACK OF THE ROOM (VIDEOGRAPHER TECH RISER/AREA)
Set a 2’ high riser (4’ x 6’ preferred, or 4'x8') at the agreed upon location / floorplan for our videographer’s immediate set up upon arrival
If the room length, from back to front is less than 100 ft., place the videographer tech riser at the back of the room, flush against the wall.
If the room length, from back to front is greater than 100 ft., place the videographer tech riser at the side of the room (About 60’-80' back from the front)
Please allow for at least 5' feet of empty space in front of the riser for tripod placement, foot traffic.
Place a 6’ classroom style table and a chair on top of the riser
Place a small cocktail round top table on top of the riser
Wireless audio receivers should be placed on top of the 6' classroom table
An 8-16 channel analog Audio Mixer (see example) placed on the videographer’s table and connected via mic cable to the wireless microphone
From the audio mixer output, run mic (XLR) cable to connect to room amplification (XLR wall patch powering ceiling speakers or PA speaker(s) on a stand at the front of the room)
Internet Connection #2: An Ethernet Cable from an active Ethernet port with at least 10Mbps+ normal speed test download/upload bandwidth.
An extension cord running to the tech area/riser with a power strip
We desire venue audio/microphones be made available to our videographer 60-120 minutes prior to the beginning of the meeting
